Fees, Refund, Cancellation & Course Exchange Policy

– International Institute of Gemology (IIG)

1. Introduction

The following Fees, Refund, Cancellation & Course Exchange Policy (“Policy”) governs all admissions, enrolments, fee payments, cancellations, transfers, exchanges, refunds, product purchases, and related transactions conducted with the International Institute of Gemology (“IIG” / “Institute”).

By applying for admission, paying any amount, accessing academic resources, attending classes, receiving study materials, or purchasing any product/service from IIG, the Candidate/Student/Parent/Guardian/Customer (“Applicant”) irrevocably acknowledges, agrees, and accepts all terms mentioned herein.

This Policy is legally binding and enforceable upon all applicants and enrolled candidates.

SECTION A

COURSE ADMISSIONS – FEES, REFUND, CANCELLATION & COURSE EXCHANGE POLICY

2. Admission Confirmation & Binding Nature

2.1 Admission shall be considered confirmed immediately upon:

  • Payment of any amount toward course/programme fees,
  • Issuance of admission confirmation,
  • Allocation of seat/enrolment number,
  • Access being granted to academic systems, LMS, student portal, study material, faculty interaction, batch allocation, or orientation.

2.2 Upon confirmation of admission, the Institute reserves the academic seat, allocates operational resources, faculty planning, infrastructure, administration, and academic scheduling specifically for the enrolled candidate.

2.3 Therefore, all fees paid toward admission are subject to the refund structure and restrictions outlined herein.

2.4 Ignorance, non-reading, misunderstanding, verbal assurances, assumptions, change of mind, financial difficulties, relocation, family decisions, career changes, visa issues, personal preferences, dissatisfaction, scheduling conflicts, or non-attendance shall not invalidate this Policy.

3. Strict No Exchange / No Transfer Policy

3.1 Once admission is confirmed in any programme/course/specialization, the same shall be deemed final and binding.

3.2 Under no circumstances shall any student be entitled to:

  • Exchange one course for another,
  • Change specialization after admission,
  • Transfer fees from one programme to another,
  • Transfer admission to another batch, person, centre, franchise, or institution,
  • Convert fees into another academic service/product,
  • Claim fee adjustment against any future course.

3.3 Verbal discussions, counselling conversations, marketing communications, or informal assurances shall not override this written policy.

4. Refund, Cancellation & Course Exchange Eligibility Structure

Important Condition Applicable to ALL Categories, Irrespective of the timelines mentioned below (within 24 hours / within 7 days / after 7 days), once:

  • The student is assigned to a batch,
  • The batch/course/programme has commenced,
  • Any class/orientation/session has started,
  • LMS/digital learning access is activated,
  • Study material is issued/dispatched,
  • Faculty allocation or academic scheduling is completed,

then:

  • All rights relating to refund, cancellation, withdrawal, transfer, adjustment, deferment, or exchange of course/programme shall immediately lapse and become void.
  • No refund, cancellation, transfer, deferment, adjustment, or exchange of course/programme shall be permitted whatsoever under any circumstances.
  • The student shall remain fully liable for the entire programme/course fee.

For the purpose of this Policy, “Course Commencement” shall include commencement of any academic activity, including online/offline classes, orientation sessions, practical sessions, workshops, LMS access, recorded lectures, assessments, or access to any academic resources.

4.1 Cancellation/Exchange/Transfer Within 24 Hours of Admission

Candidates may apply for cancellation within 24 hours from the official admission confirmation time.

Eligible refund:

  • 100% of programme/course fees paid,

After deduction of:

  • Admission/registration charges,
  • Payment gateway/processing charges,
  • Taxes already remitted,
  • Cost of dispatched materials/resources/access granted,
  • ₹50,000 or the actual non-refundable institutional cost incurred, whichever is higher.

Conditions:

  • The request must be submitted strictly in writing via official email.
  • Time shall be calculated from the timestamp of admission confirmation/payment receipt.
  • Oral/intimated requests shall not be considered valid.

Important:

  • If the batch has been assigned and/or the course has commenced before expiry of the 24-hour period, then no refund, cancellation, transfer, deferment, adjustment, or exchange of course/programme shall be applicable whatsoever.

4.2 Cancellation/Exchange/Transfer After 24 Hours but Within 7 Days

Candidates cancelling after 24 hours but before completion of 7 calendar days from admission may be eligible for:

  • Maximum 50% refund of the tuition component only.

The following shall remain strictly non-refundable:

  • Registration/admission fees,
  • Processing/payment gateway charges,
  • Taxes,
  • Administrative charges,
  • Academic blocking/allocation costs,
  • Study material cost,
  • Digital access activation,
  • Orientation/training access,
  • Assessment/examination charges,
  • ₹50,000 minimum institutional retention amount or actual costs incurred, whichever is higher.

Important:

  • If the batch has been assigned and/or the course has commenced at any time during this period, all rights relating to refund, cancellation, transfer, deferment, adjustment, or exchange of the course/programme shall automatically cease and no refund, cancellation, or exchange shall be applicable.

4.3 Cancellation/Exchange/Transfer After 7 Days

After expiry of 7 calendar days from admission:

  • No refund, cancellation, transfer, deferment, adjustment, or exchange of course/programme shall be applicable whatsoever.
  • No credit note, fee adjustment, transfer of fees, or compensation shall be provided under any circumstances.

This applies irrespective of:

  • Whether classes commenced or not,
  • Attendance status,
  • Academic participation,
  • Visa rejection,
  • Medical reasons,
  • Personal circumstances,
  • Dissatisfaction,
  • Shift in career plans,
  • Relocation,
  • Non-usage of services.

Further:

  • If the batch has already been assigned and/or the course has commenced, no refund, cancellation, transfer, deferment, adjustment, or exchange of course/programme shall be permissible under any circumstances whatsoever.

5. Exceptional Circumstances for Cancellation/Exchange/Transfer of Admission

5.1 Refund requests beyond policy timelines may only be reviewed in extremely exceptional cases involving:

  • Serious documented medical emergencies,
  • Institute-initiated cancellation of programme,
  • Legal impossibility preventing course continuation.

5.2 Such requests must be supported by valid documentary evidence acceptable to the Institute.

5.3 Acceptance or rejection of such requests shall remain solely at the absolute discretion of IIG Management.

5.4 Management decisions shall be final, binding, and non-contestable.

6. Fees, Deposit Amount, Banking Charges & Payment Liability

6.1 Registration / Booking Amount

Any amount paid toward registration, seat blocking, provisional admission, course booking, or batch reservation shall be treated as a confirmed commitment toward admission and reservation of an academic seat at IIG.

Such an amount may be adjusted against the total course/programme fees at the sole discretion of the Institute.

IIG reserves the right to deduct from such amount:

  • Administrative charges,
  • Processing/payment gateway charges,
  • Banking/forex charges,
  • Taxes,
  • Any admission-related institutional expenses.

6.2 Payment of Balance Fees Before Course Commencement

Irrespective of any instalment plan, the Candidate/Student shall remain liable to pay the agreed fees/instalment amount as communicated in writing by the Institute.

Unless otherwise approved by IIG in writing:

  • All pending fees/installments must be cleared at least 7 (Seven) days before commencement of the batch/course/programme.

Failure to clear dues within the stipulated timeline may result in:

  • Suspension/cancellation of admission,
  • Denial of batch or LMS access,
  • Restriction from academic participation.

Such action shall not entitle the Candidate/Student to any refund, cancellation, transfer, deferment, or exchange.

6.3 Banking Charges & Transaction Deductions

Any:

  • Bank charges,
  • SWIFT/wire transfer fees,
  • Payment gateway charges,
  • Merchant/processing fees,
  • Forex conversion charges,
  • Intermediary bank deductions,
  • Chargeback or transaction fees,

levied during receipt or refund of payments shall be solely payable by the Candidate/Student/Customer.

IIG reserves the right to recover, deduct, adjust, or levy such charges from:

  • Registration amounts,
  • Deposits,
  • Refundable amounts,
  • Instalments,
  • Any fees paid.

6.4 Net Amount Received Principle

For all admissions, fee calculations, and refunds:

  • Only the final/net amount actually credited to the official bank account of IIG after deduction of all banking, gateway, forex, intermediary, or transaction-related charges shall be considered as “Fees Received”.

Any shortfall due to such deductions shall remain payable by the Candidate/Student.

6.5 Refunds Subject to Banking Deductions

Any approved refund shall be processed only after deduction of:

  • Bank/payment gateway charges,
  • Forex conversion losses,
  • Transaction fees,
  • Administrative expenses,
  • Applicable institutional deductions under this Policy.

IIG shall not be liable for any reduction in refund amounts arising due to banking systems, intermediary institutions, exchange fluctuations, or payment provider deductions.

6.6 Instalment Liability, Delay Charges & Recovery Rights

Where admission is granted on instalment/payment plan basis:

  • The Candidate/Student shall remain fully liable to pay the complete programme/course fee as agreed with the Institute.

Discontinuation, non-attendance, dropout, dissatisfaction, visa rejection, personal circumstances, or refusal to continue shall not waive outstanding fee liability.

Any delay in payment of scheduled instalments shall attract a late payment charge of ₹1000 per week per overdue instalment until full payment is received.

IIG reserves the right to:

  • Recover pending dues along with applicable late payment charges,
  • Withhold certificates/results,
  • Suspend academic services/access

6.7 Instalment Default & Outstanding Fees

6.7.1 In case of instalment-based admissions:

  • The student remains liable to pay the full committed course fee irrespective of discontinuation or dropout.

6.7.2 Non-attendance or withdrawal shall not waive pending dues.

6.7.3 IIG reserves the right to:

  • Withhold certificates/results,
  • Suspend academic access,
  • Deny assessments/examinations,
  • Initiate recovery procedures for unpaid dues.

7. Non-Attendance / Dropout / Abandonment

7.1 Failure to attend classes, access LMS, participate in sessions, submit assignments, or continue academic activities shall not constitute cancellation.

7.2 “No-show” admissions shall be treated as confirmed admissions and shall attract full fee liability.

7.3 Students discontinuing midway shall not be entitled to:

  • Refund,
  • Credit adjustment,
  • Exchange,
  • Compensation,
  • Transfer of fees/services.

8. Digital Learning, LMS & Study Material Access

8.1 Any activation/access of:

  • LMS,
  • Recorded lectures,
  • Digital modules,
  • E-books,
  • Notes,
  • Online sessions,
  • Practical kits,
  • Software access,

shall automatically make corresponding fee components non-refundable.

8.2 Dispatch or issuance of study material shall be treated as utilisation of academic resources.

9. Mandatory Refund Procedure

9.1 All cancellation/refund requests must be submitted only through:

9.2 Requests sent through:

  • Phone calls,
  • WhatsApp,
  • Verbal communication,
  • Social media,
  • Counsellors,
  • Faculty members,

shall not be considered official.

9.3 The request must include:

  • Full student name,
  • Course name,
  • Admission number,
  • Registered contact details,
  • Reason for cancellation,
  • Supporting documents (if applicable).

9.4 Incomplete requests may be rejected without further correspondence.

10. Refund Processing Timeline

10.1 Approved refunds shall be processed within:

  • 30 working days from the approval date.

10.2 Refunds shall be issued only:

  • To the original payment source/account from where the fee payment was received.

10.3 Banking/payment delays beyond IIG’s control shall not create liability upon the Institute.

11. Fraudulent, Disruptive or Policy-Violating Claims

11.1 IIG reserves the right to reject refund/cancellation claims involving:

  • Misrepresentation,
  • False allegations,
  • Chargeback abuse,
  • Fraudulent disputes,
  • Policy manipulation attempts,
  • Threatening or defamatory conduct.

11.2 Such conduct may additionally result in:

  • Immediate termination of admission,
  • Suspension from academic activities,
  • Forfeiture of fees,
  • Withholding of certificates/results,
  • Legal proceedings where applicable.

SECTION B

PRODUCT SALES – RETURN, REFUND & CANCELLATION POLICY

12. Applicability

This section applies to all products sold by IIG, including:

  • Educational instruments,
  • Gemological tools,
  • Kits,
  • Books/publications,
  • Merchandise,
  • Digital resources,
  • Certification material.

13. Product Cancellation Before Dispatch

Orders may be cancelled before dispatch subject to:

  • Administrative deductions,
  • Payment gateway charges,
  • Applicable taxes/handling costs.

14. Return & Refund After Delivery

Returns shall only be accepted where:

  • Product received is defective,
  • Damaged during transit,
  • Incorrect product delivered.

Conditions:

  • Request within 7 days of delivery,
  • Product unused,
  • Original packaging intact,
  • Resalable condition maintained.

15. Non-Returnable Products

The following shall remain strictly non-returnable/non-refundable:

  • Digital products,
  • Downloadable resources,
  • Opened/used products,
  • Customized/special-order products,
  • Consumables,
  • Software/license-based products.

SECTION C

ONLINE TRANSACTIONS & DIGITAL PAYMENTS

16. Transaction Terms

16.1 All online transactions conducted through IIG platforms may additionally be governed by transaction-specific terms displayed at the point of payment.

16.2 Such terms shall automatically form part of this Policy.

17. User Responsibility

The Applicant confirms responsibility for:

  • Accuracy of submitted information,
  • Validity of payment method,
  • Correct communication details,
  • Compliance with local laws/regulations.

SECTION D

IMPORT, EXPORT & REGULATORY COMPLIANCE

18. Compliance Obligations

The Applicant agrees to comply with all applicable:

  • Import/export regulations,
  • Customs laws,
  • International trade restrictions,
  • Local jurisdictional requirements.

19. Limitation of Liability

IIG shall not be liable for:

  • Customs delays,
  • Seizures,
  • Duties/taxes,
  • Regulatory restrictions,
  • Shipment holds,
  • Buyer-side documentation failures.

SECTION E

GENERAL LEGAL PROVISIONS

20. Institutional Rights

20.1 IIG reserves the right to:

  • Amend policies,
  • Modify fee structures,
  • Revise operational terms,
  • Update academic regulations,
  • Change refund conditions,

without prior notice.

20.2 Updated versions published on official platforms shall supersede previous versions.

21. Governing Authority & Final Decision

21.1 All matters relating to:

  • Refund eligibility,
  • Cancellation,
  • Fee disputes,
  • Academic transfer requests,
  • Special considerations,

shall be decided solely by IIG Management.

21.2 The Institute’s decision shall be final and binding on all parties.

22. Acceptance & Consent

By:

  • Paying fees,
  • Enrolling in any course,
  • Accessing academic services,
  • Accepting admission,
  • Purchasing products/services,

the Applicant confirms that they have:

  • Fully read,
  • Understood,
  • Voluntarily accepted,

all terms contained in this Policy without coercion or reliance upon verbal assurances.

23. Jurisdiction

All disputes, claims, or legal proceedings arising from admissions, fees, products, services, or transactions with IIG shall be subject exclusively to the jurisdiction of courts located in Mumbai, Maharashtra, India.
